An empty row will be displayed at the top of the grid where you can quickly enter the desired filter values. By default "Incremental Filtering" is on, which means that filtering will be performed as you type characters in the filter row - thus the number of matching records will be narrowed down as you enter more & more characters. If you have a very large number of records in a grid, it is recommended that you turn off "Incremental Filtering" to improve performance. This can be done by right clicking a grid and selecting the "Filter Row" option, and then unchecking "Incremental Filtering" by clicking on it. When "Incremental Filtering" is off, the filter engine searches for exact matches instead of doing partial matches. The filter is also only applied when you leave the filter cell or press ENTER while the cell still has input focus. You can still peform wildcard searches for text in a cell, by specifying the % character at the beginning or end of text. Version 4.08 - 23 July 2007 --------------------------- - Changes & Enhancements - Bank Reconciliation - By default in version 4, when a transaction is flagged as presented or unpresented the changes are posted immediately and the transaction will disappear from view. In version 2, the change was not posted until the user moved focus to another transaction. Users who prefer the version 2 functionality can now switch back to this method by right clicking on the Bank Recon grid and unticking the "Immediate Post" option by simply clicking on it. - Edit Ledger Transactions - Restored certain ProAcc version 2 functionality & behaviour - Grid does not go into edit mode when clicking on a cell. Focus can therefore be moved from one cell to the next using the arrow keys now. - Pressing the Enter key after changing the account of a transaction, no longer posts the tansaction, giving the user a chance to make changes to other fields. - General Ledger Report options - Restored the following ProAcc version 2 functionality - Print Debits Balances Only - New Page per account - Version 4 Conversion - Added option under the Tools menu to do a bulk conversion of all clients to version 4. This option will traverse all ProAcc clients to ensure that they are converted to the version 4 data file format. Version 4.07 - 15 July 2007 --------------------------- - Changes & Enhancements - Transfer Batch - Posted batches can now be transferred to a disk/path without having to unpost the batch first. - Import batch - Import batch is now more accurate than version 2, since batches that are transferred to a disk/path now stores the actual account code that the transactions were posted to. When the batch is imported into another client, ProAcc automatically locates the corresponding account with the same code and allocates the transaction to it. - Backup Restore - Before a client backup is restored, ProAcc now deletes all files in the client directory before performing the restore operation. This will prevent backups from older versions causing problem when they are restored onto later version client data files. - Data Dictionary - Added option "Verify Dictionary Tables" under the "Tools|Data Dictionary" submenu. This procedure was initially part of the "Tools|Clean Data Dictionary" procedure but has now been moved to a seperate option. This option validates the tables in a data dictionary to ensure that the table physically exists in the client directory. If the table does not physically exist, the user is given the choice of removing the invalid tables in the dictionary. This feature can be used to fix "5132" dictionary errors when creating new or unposting batches. - Bug fixes - Data Entry - Fixed problem were the wrong transaction would get deleted when deleting a transaction when the sort order was date or reference order. - Fixed error message that was displayed when changing transaction sort order. - Batch Menu - Transfer/Import Batch - Fixed issue were transactions were allocated to the wrong account after importing a batch. This problem was introduced in v4, because of the change in the internal stucture of the chart of accounts table. The batch Transfer/Import process has been re-designed to accomodate the v4 changes and should now be 100% accurate. - Fixed access rights issues for batch transfer/import options in Batch menu for Network version users. Version 4.06 - 4 July 2007 -------------------------- - Changes & Enhancements - Financial Categories - Added a '0' to the front of the financial category code for the master chart of account templates. This will prevent sorting problems in the Trial Balance when financial category codes go pass '100'. - Fixed conversion problems for clients that were originally from an Ace Accounting export to ProAcc : - ProAcc users were sometimes not given a "ProAcc Export" backup from Ace Accounting, but an original Ace Accounting backup that was then restored by users into ProAcc. There were thus cases were both ProAcc and Ace Accounting Ledger tables existed in a client directory, which caused the conversion to version 4 by ProAcc to fail. - A "ProAcc Export" backup from Ace Accounting could contain other modules like Receivables, Payables & Inventory modules, besides the normal General Ledger & Financial Reporting modules. ProAcc cannot do a complete conversion of this type of client to version 4, as it is unable to convert the other Ace Accounting modules. In these cases, ProAcc will attempt to launch Ace Accounting (v4.46 or later) on the users PC and instruct this application to do the conversion to version 4 for ProAcc. - Client Log - Log date now includes time. This will provide a better overview of the sequence of events when certain actions happen consecutively. - Bug fixes - Fixed problem were ProAcc versions 4.04/4.05 terminated on Win 98 PC's at startup with run-time error 217. Because of this change, a user account on Vista does not have full access to the machine as it generally would under Windows XP. Necessary changes have therefore been made to ProAcc to ensure that it can installed on Windows Vista using the Elevated Administrator mode and thereafter function and be used under the standard user mode. - Tools - Added feature in "Tools|Clean Data Directory" option to also verify data dictionary tables to see if they physically exist and remove these invalid tables from the dictionary if necessary. This feature will resolve 5032 errors when attempting to unpost a batch whose tablename already exists in the data dictionary. - CTRL-F4 option to execute an SQL script now runs script under ADSSYS user. - Client/Server - Added "Keep Tables Open" configuration option in "Network|Preferences". By default this feature is now OFF. When this feature is ON, AceAcc will keep tables open after it has finished using them. In the event, of tables being needed again, the tables will already be open and no request has to be done to the server to re-open these tables, thereby increasing application performance. The disadvantage of using this option is that in the event of a power failure on the ADS Server, data corruption can occur if cached data for the tables (that are still open) has not yet been written to disk. If this feature is used, there is also an additional configuration option that can be used to automatically close inactive tables on a client, after a specific period of inactivity. Note: a) If other clients have the same table open, then ADS will not close a table until all other clients have also issued their request to also close the table. b) See the new "Flush Frequency" setting in the "Database Configuration Utility" below which is an additional feature to ensure all cached data is timeously written to disk. c) The "Keep Tables Open" configuration option is only for "local" client/server operation. Remote clients will ignore this setting and ALWAYS use this feature, because continually opening and closing tables is very time consuming over the internet and can slow down general application usage considerably. - Added option in the "Database Configuration Utility" to configure ADS's "Flush Frequency" setting. This setting determines how often ADS will instruct Windows to forcibly flush all cached table information to disk. ADS's default value for this setting is 10 minutes. The toolbars are fully customisable and its layout are saved by user & company. The toolbar can also be dragged and docked to the top, left, right & bottom of the screen. You can also save a default toolbar layout. To do this, customise the toolbar buttons and layout first and then right click on the toolbar and go to the "Toolbar layouts" option and select "Save current layout as my default". All new clients created will automatically use your default layout. Also, at any time you can restore your default toolbar layout by selecting the "Restore my default layout" option. - Theme support has been added to the main menu toolbar and throughout most of the windows in the application. The main application window now displays a tab bar below the toolbar. This bar display a tab for each child window that is opened in the application. Clicking on the tab allows one to quickly switch to that window. Clicking on the X in the tab allows one to quickly close that window. The tab bar greatly improves productivity, especially for users who switch between windows frequently. - Grids - A new right click menu has been added to most grids. This menu will allow you to customise visible fields, print and export grid contents. Where necessary most of the features that are customisable are saved and restored automatically. - Grid Columns can now be sorted, grouped and filtered by clicking on column headers. - New truetype font "Tahoma" is now used throughout the screens in the application. This font has been designed by Microsoft for its Windows XP 'ClearType' technology. It enhances LCD screen text readability considerably. Notebook or LCD display users can enable 'ClearType' in the 'Display Properties" control panel and benefit from this technology within ProAcc To do this : In the control panel go to the 'Appearance' tab, click on the 'Effects' button and the select 'ClearType' under the "Use the following method to smooth edges ..." option. - Better support for MS Windows XP. The application will have the XP look and feel on PC's that are using MS Windows XP. We will also add support for MS Windows Vista in the first half of 2007 once this new operating system has been released. - Edit Ledger Transactions - Transactions in the account section grid can now be filtered by a custom date period. - Transactions can now be multi-selected using the CTRL or SHIFT keys and the account and vat types of these selected transactions can be quickly changed. - When changing a transaction's account in the grid, a drop down list of accounts can be displayed so that the appropriate account can be quickily selected. - Bank Reconciliation - Transactions in the grid can now be filtered by a custom date period. - Transaction can now be multi-selected using the CTRL or SHIFT keys and then quickly set to presented or unpresented by a click of a button. - Batch window - Columns/Fields that are displayed in the main grid are now customisable. Right click on the grid and select "Column Selection". - Batch Information panel on the right is now dockable on either the left or right sides of the window, or alternatively it can be hidden by clicking on the X. - Reports - Added option 'Use small fonts' to Trial Balance, Ledger, Bank Transactions and Journals report options dialogs. Select this option to use small fonts in the reports when you have very large amounts that are getting truncated in the print preview or on printed outputs. - Print Preview - Reports can now be saved to a file from the print preview window in one of the following formats : Adobe PDF, MS Excel, RTF, HTML, Quattro, Lotus Jpeg Image, BMP Image, Text & the proprietary Ace Report format. - Reports can now be emailed straight from the print preview window in one of the following formats : Adobe PDF, HTML, Rich Text Format, Jpeg image, Text. Adobe PDF is the recommended and default format. - ProAcc supports emailing via a MAPI compliant software (eg. MS Outlook Express or MS Outlook) or directly to your Internet Service providers SMTP mail servers. Default preferences for the email feature can be setup in the "Setup|Preferences|Email" tab. - Financial Categories & Trial Balance - A 'Code' field has been added to financial categories. When 'Display Financial Category' is enabled for the Trial Balance, the financial categories that appear in the Trial Balance will be grouped and ordered by this code field. This results in a more logical grouping & ordering of financial categories, thus making the Trial Balance easier to read. - General Ledger & Financial Reporting - Financial Report templates have been updated so that where possible formulas reference financial categories, instead of account codes. This grid based view of a trial balance supports the following exciting features over the standard trial balance report : * Net Profit amounts & Gross Profit percentages are displayed for the current and last year in a side panel so you don’t have to scroll a long trial balance to obtain this information. * Supports drill down into the general ledger for current year transactions, so that you can now quickly see what transactions are posted to an account. Also, double clicking on a transaction displayed in the drill down will automatically take you to the edit ledger transaction section for quick editing of the transaction. * Charts/Graphs can be displayed (or printed) for period & year comparatives. * Differences (by Amount & percentage) can be displayed for "Current Year / Last Year" and "Period # / Last Period" trial balance types. - New Transaction Enquiries section. - This enquiry section allows you to quickly search for transactions in the general ledger. A combination of fields can be used to search for a particular ledger transaction, including : Date, reference, transaction type, description, account, amount etc. This feature can help you to quickly locate a particular transaction if you are not sure which ledger account it has been posted to. - Budgets - Added new Budgets section that allows you to capture budgets by period for the current year in a grid format. Right clicking the mouse on the grid provides a list of tools & options to speed up capturing of budgets. A budget report allows you to print a report comparing actuals to budget for a specific period or year to date. - The financial reporting section now also has new spreadsheet functions to reference budget amounts. eg. BY.100, BP1.111, BP5.265 etc - Data Import & Export - Import/Export between Ace Accounting v4 and ProAcc v4 is now completely seamless. You no longer have to worry about using the "File|Export" options to create a backup for Ace Accounting users. The same headache has been removed for ProAcc users. Data files for both the packages are completely compatible from version 4. Ace Accounting users just need give you their latest backup and you can restore the backup like a normal ProAcc backup. When you're finished, just make a backup in ProAcc and the Ace Accounting v4 user can restore it like a normal ProAcc backup - its that simple now. - New Pastel Trial Balance Import feature has been added. This feature can import a Trial Balance exported from Pastel Accounting in CSV format. - Added "File|Export|General Ledger" option. Specific ledger accounts and a custom period can also be specified for the export. - Remote Client capabilities - Users can now work remotely (via the internet) on ProAcc clients using the new remote client capabilities. All you need is internet access on your laptop/home pc and Advantage Database Server running at the office and you can work on the remote data as though the data is on your laptop/home pc. When setting up the remote company the application type must be set to AceAcc in order for this feature to work. - Redo Year End - A new feature called "Redo Year End" has been added to the "Utilities" menu. This feature allows you to re-process a year end for a list of clients. Using this feature you no longer have to manually adjust opening balances and year end journals when working on multiple financial years simultaneously for a particular client. Just select your list of related client codes in financial year order in the "Redo Year End" screen and click on the "Redo" button to fix all the opening balances for each client code within seconds. The "Redo Year End" will automatically perform the following tasks during its processing : a) Any new financial categories will be created and added to subsequent years b) Any new ledger accounts will be created and added to subsequent years c) Balances for any new ledger accounts will be carried forward to subsequent years d) Balances that have changed for existing accounts will be adjusted and carried forward to subsequent years. e) Profit splits will be recalculated and carried forward to subsequent years. f) Balance forward transactions will be re-processed. g) Any new unpresented receipts and payments will be carried forward to subsequent years so that they appear in the bank reconciliation section. To ensure the accuracy of the "Redo Year End" feature all you have to do is ensure that you keep the use of the ledger accounts consistent for each client code. For example: if account 100 is "Sales" in the first client code do not use this account code for a completely different transaction type in the other client codes. - Network Edition - 'Open Client' window has been enhanced for the network edition users. The list of clients can now be filtered by searching for text in a client name. This is useful if you do not know the code that was used for a particular client. The client can now be found quickly using this feature instead of resorting to manually searching the list. Click on the 'Search by Client name' check box to show the search field and enable this feature. - ProAcc now uses a new data file format (.ADT). The file extensions are : ADT, ADI & ADM. These extensions must be excluded for virus scanning in any antivirus software you may have installed on your pc. Overall company data file sizes should reduce by 5 to 7% with the new format. Other technical benefits of the new Advantage ADT format over the previous XBase DBF format : - Longer Field Names & Index Names - Enhanced field data types that require less space. - True unique indexes that enforces all records in the table to be referenced via a unique key. - Files sizes greater than 4 gigabytes when used on NTFS. - Deleted records are invisible and automatically reused by the database engine. - Support for NULL Values - Better performance for certain operations. - Concurrent updates to the database index files with many index orders, will be faster because the new format supports per index order write locking and updating. - Retrieval of ADM memo data should be nearly twice as fast as retrieval of FPT memo data, because memo data can now be retrieved in a single operation instead of two operations to the memo data file. - Index lookups and updates will almost always be faster with the ADT format than with Xbase file formats, because of improved storage of index data. - Several field types take less storage space with ADT tables than with DBF tables. This leads to smaller record sizes with ADTs than with DBFs. Smaller record sizes mean less data traffic on the network. - Bug fixes - Spreadsheet "Set print area" did not work for worksheets that had spaces in their name. - Client Server version - Fixed error message "Cannot focus a disabled window" when a transaction was rolledback due to record being locked by another user. - Verify Client - Fixed problem in verification of trial balance & general ledger transactions. Optimised opening of financial reports for "Remote Client" feature. - ProAcc now forces all file buffers of open data files to be written to disk when an insert/update is done to a data file on all Windows operating systems (98 to XP) when the local server engine is being used, thus improving data stability. In previous versions flushing of buffers was only done on Windows for local drives, not network drives.
